When you use ProReply, we collect:
Account Information: Email address, name, and password (or OAuth provider ID if using Google/Microsoft sign-in)
Email Content: The content of emails you choose to analyze with ProReply. This is processed temporarily to generate replies and is not stored permanently.
Knowledge Base Documents: Documents you upload (lease agreements, policies, FAQs) are stored securely to enable AI-powered replies.
Usage Data: How many replies you generate, features you use, and basic analytics to improve the service.
Payment Information: Handled securely by Stripe. We do not store your credit card details.
2. How We Use Your Information
To provide the ProReply service and generate email replies
To process payments and manage your subscription
To send service-related emails (password resets, subscription updates)
To improve our AI models and service quality
To provide customer support
3. Data Processing
When you analyze an email or generate a reply:
Email content is sent to our servers over encrypted connections (HTTPS)
We use Claude AI (by Anthropic) to analyze emails and generate replies
We use Voyage AI for semantic search of your knowledge base
Email content is processed in real-time and not stored after the reply is generated
4. Data Storage and Security
Your account data and uploaded documents are stored in secure PostgreSQL databases
All data is encrypted in transit (TLS/SSL) and at rest
We use industry-standard security practices including regular security audits
Document embeddings are stored in Pinecone vector database for semantic search
5. Data Sharing
We do not sell your personal data. We share data only with:
Service Providers: Anthropic (AI processing), Voyage AI (embeddings), Stripe (payments), Resend (emails), Railway (hosting), Pinecone (vector storage)
